Office Manager
Supervised by: Human Resource Coordinator
POSITION SUMMARY: Responsible for ensuring agency office is functional and complete administrative clerk to assignments.
DUTIES AND RESPONSIBILITIES: (OTHER DUTIES MAY BE ASSIGNED)
· Electronically prepares and updates personnel record.
· Assists in preparation of reports and electronic tools.
· Contacting employees to maintain timeliness of submitting documents.
· Check all references, license verification and other related record checks as needed.
· Create tabs and binders
· Can assist as needed with orientation and in-service training to all employees
· Send weekly reminder emails
· Assist with the updating Employee contact sheets
· Secretary to Administrator
· Answer telephone- relay messages.
· Order and track supplies
· Assist with maintaining a clean office area.
· Conduct Administrative filing.
· Run errands
· Distribute mail
· Monthly reconciliation, director expense report, agency credit card receipts, petty cash and file mileage records, expense reports and check request.
QUALIFICATIONS
This position requires a high school diploma, but a college degree is preferred. Must have 1+ years of clerical and bookkeeping experience.

Strong oral and written skills are required in this position including
· Ability to effectively present information to clients, staff, and the general public including providing training on a variety of mental health topics
· Ability to respond to inquiries or complaints from customers, agencies, or members of the public
· Ability to write clear and concise reports and correspondence
· Ability to read, analyze and interpret professional articles, reports and documents
· Excellent skills in building and sustaining collaborative relationships
· Organizational and computer skills
Mathematical Skills
Ability to add, subtract, multiply, and divide in all units of measure using whole numbers, common fractions, and decimals. Ability to compute percentages
Reasoning Ability
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret technical instructions and deal with several abstract and concrete variables.
